Full Job Description

The Development Assistant is an integral member of the Faculty of Arts and Sciences (FAS) development team. This full-time non-exempt position supports frontline gift officers to advance the philanthropic mission of the Faculty of Arts and Sciences.

FAS Development is responsible for the fundraising efforts supporting the Faculty of Arts and Sciences, including Harvard College, the Harvard John A. Paulson School of Engineering and Applied Sciences, and the Graduate School of Arts and Sciences. FAS Development staff work with donors, alumni, parents, and friends who provide critical support for the FAS and often for other parts of the University.

This is a great opportunity for someone who is interested in building their career within higher education and learn more about alumni affairs and development.

The person in this role should be mission driven, have attention to detail, strong organizational ability, and robust communications skills. The Development Assistant will have access to and utilization of confidential information pertaining to donors and alumni where a high degree of discretion, diplomacy and professionalism are required.

Position Description

  • Provides support to frontline gift officers throughout the entire prospect management process including (but not limited to) prospect outreach, data gathering and maintenance, scheduling, meeting preparation and follow-up on action items.
  • Achieves proficiency in the alumni/donor database to research prospects, organize data and produce reports.
  • Regularly manages updates to the alumni/donor database to ensure all information is entered accurately and timely.
  • Partners with gift officers to write high quality donor briefings for meetings with the President, Deans, Provost, Faculty, and other staff.
  • Develops and prepares necessary meeting and solicitation materials prior to prospect meetings and is responsible for post meeting follow-up, including drafting thank you notes and submitting contact/visit reports.
  • Coordinates gift officers’ travel arrangements, reimbursements, and expenses in collaboration with the budget office.
  • Maintains calendar for the gift officers, organizes meetings, and takes and distributes notes.
  • Provides customer service to internal and external stakeholders such as donors and/or alumni both domestically and internationally.
  • Serves as a resource for policies, protocols, and procedures.
  • Strategizes new and creative ways for fundraising efforts to be more efficient and productive.
  • Builds relationships and collaborates with other departmental teams including (but not limited to) the University Development Office, Harvard College Fund, Communications, Events, Alumni Development Services, Development Technology Services, and the Harvard Alumni Association.
  • Participates in various team and staff meetings throughout the year and is an engaged member of the team.
  • Provides other job-related duties as required.

Basic Qualifications

High school graduate or equivalent with some higher-level business training and three or more years of related experience (customer service preferred).  Must have excellent communication and interpersonal skills with proven ability to assume full “life cycle” accountability for projects and work independently to see large, complex and long-term tasks through from start to finish.  Must be able to work as part of a team and be able to effectively interact with a wide variety of constituencies.  Must have excellent customer service skills and experience working with the public.  Must be able to perform duties with a high degree of speed, accuracy and attention to detail. Experience with mail handling, metering, and shipping and receiving preferred.

Additional Qualifications and Skills

Harvard’s Financial Administration Department (FAD) is responsible for the stewardship of the University’s finances, including related business processes and technology. The Office of the Controller (OC) within Harvard University’s Financial Administration Department is dedicated to supporting the teaching, research, and service missions of the Harvard community by providing efficient and effective financial and administrative services, by enabling access to information and resources, and by promoting the financial health and security of each unit and of the University as a whole.

Position Description

The Payroll Accountant I (PAI) is primarily responsible for processing garnishments (setup/remittance), monthly dues remittances and deduction reports, coordination of stops and reissues and direct deposit returns, and coordination of the escheatment process for payroll.  Additionally, the PAJ will serve as a backup to the Payroll Accountant for processing of tax refunds, balance adjustments, corrected W2’s and salary overpayment processing.
Typical Core Duties:

  • Processes garnishments in accordance with legal requirements, working with outside agencies and internal counsel as needed
  • Coordinates with customer service team on requests to stop and reissue payroll checks
  • Reconciles Payroll General Ledger files
  • Prepares monthly remittance reports in PeopleSoft and processes corresponding vendor payments in Buy 2 Pay
  • Responsible for payroll check ESCHEAT Process
  • Contributes to other unit goals as required
  • This position is designated essential personnel. Occasional overtime may be required during peak periods.

  • Associates degree or relevant work experience. 3+ years of payroll, customer service or administrative experience.

Job-Specific Responsibilities

The Accounting Supervisor is a member of the Campus Services (FS) Finance Team reporting to the Senior Accounting Manager for Campus Services’ Finance & Accounting team, he or she leads a team of 2 – 4 accountants and accounting assistants responsible for providing accounting and internal control support for the Accounts Receivable unit of Campus Services as well as Harvard University Housing (HUH) and Harvard Real Estate (HRE).

Lead his or her accounting team to ensure that all aspects of the billing cycle (e.g.: recording revenue, billing, and processing receipts) are performed timely and accurately, closely collaborating with Campus Service’s Business Units to achieve this goal

  • Ensure that timely, accurate, and professional customer service is provided to CS customers and the University community
  • Manage his or her accounting team to adhere to a calendar of accounting activities to ensure that all transactions are processed and by appropriate deadlines
  • Perform month-end closing operations in CS financial sub ledger systems including, but not limited to: Yardi and Ungerboeck
  • Manage regular and timely completion of balance sheet account reconciliations
  • Analyze balance sheet and income statement accounts, and resolve complex accounting issues
  • Ensure that source systems and the University general ledger are reconciled
  • Oversee and manage the process of creating, reviewing, and approving journal entries
  • Process journal entries related to monthly, quarterly, and annual closing of the books
  • Support the production of CS reporting to a wide variety of customers, including those internal to CS or Harvard University as well as those external to Harvard University
  • Generate detailed revenue report and aging report for HRE and HUH management groups
  • Run ad-hoc reports per senior management’s requests for budgeting, planning, and decision-making
  • Gain an understanding of key internal controls, policies and procedures related to transactions to monitor and enforce compliance, document business processes and procedures, as well as develop and maintain best practices for accounting operations while driving process improvement and leveraging technology solutions where possible.
  • Participate in, and where applicable lead, working groups charged with improving business processes and customer deliverables
  • Develop own knowledge and skills in the use of CS or University systems that support transactions and/or reports necessary to CS accounting operations
  • Work with his or her accounting team to develop their knowledge and skills in the use of CS or University systems that support transactions and/or reports necessary to CS accounting operations
  • Ensure that his or her accounting team is cross trained
  • Key member in User Acceptance Testing and system implementation for the systems used to support CS core operations, oftentimes identifying critical business areas that need to be tested, working with team to develop and implement test plan, identity and resolve issues, collaborating closely with CS HUIT and external consultants
  • Work with others in the CS Financial Services team on special projects.
  • Serve as back up for critical activities, as needed.
  • Related duties as assigned.

Typical Core Duties

  • Responsible for effective staff management, including hiring and orientation, training and development, workflow and performance management, and the promotion of an inclusive and innovative work environment
  • Evaluate accounting processes and procedures, recommend improvements
  • Oversee accounting transactions, account reconciliations, journal entry verifications and reporting
  • May prepare tax documentation and financial statements
  • Develop and distribute communications to internal and external constituencies
  • Provide technical expertise, problem-resolution and training
  • Ensure financial compliance with University policies and procedures, audit and accounting disclosure requirements, and applicable legal rules and regulation

Basic Qualifications

  • Bachelor’s degree in Accounting or equivalent work experience required
  • Minimum of 5 years’ relevant work experience

Additional Qualifications and Skills

  • Degree in accounting or finance preferred.
  • Supervisory experience in higher education preferred.
  • Must have knowledge of internal controls, GAAP, and automated accounting systems.
  • Excellent written and verbal communication, customer service, and problem-solving skills.
  • Must have demonstrated project management and leadership skills.
  • Strong attention to detail along with consistent exercise of discretion, independent judgment and initiative required.
  • Must demonstrate proficiency with MS Office, including strong Excel skills, and the ability to learn and utilize numerous accounting systems.
  • Experience with Oracle Financial and Yardi systems preferred.

Job Summary

The Dean’s Office Administration team provides administrative support to the Dean of the Faculty of the Harvard T.H. Chan School of Public Health, to advance the Dean’s priorities and the School’s mission to advance the public’s health through learning, discovery, and communication.

The Director of Administration provides administrative leadership to the Dean’s Office. This includes ensuring the efficient management of all administrative and operational functions, including finance, directly supervising staff, human resources, and developing policies, processes and procedures to improve departmental operations.

Job-Specific Responsibilities

Additional duties and responsibilities include, but are not limited to, the following:

Administration:

  • Manages administrative and operational functions of the Dean’s Office, such as supervising staff, providing leadership,  and organizing workflows
  • Develops a tracking system for follow up on activities for the Dean’s Office.
  • Develops administrative systems to bring efficiencies to managing the Dean’s Office
  • Oversees and manages the coverage, assignments, and responsibilities among the Dean’s support team
  • Establishes and maintains effective practices, processes, policies and quality control measures
  • Serves as liaison and representative of the Dean’s Office in interactions with faculty, staff, students, donors, outside individuals, and others, and in responding to requests and resolving problems
  • Manages requests for equipment and technical support for the Dean and front office staff
  • Strategically collaborates with Chief of Staff and other senior management on administrative matters and makes recommendations and action plans for improvement
  • Participates in School-wide strategic planning

HR & Personnel:

  • Manages the onboarding and hiring for administrative support positions, along with time approval
  • Completes performance management for direct reports, including goal setting, annual reviews, and personnel actions
  • Directly manages staff, including workflow, task management, and project management

Finance:

  • Manages the Dean’s and the Office’s finances including the budget, donations, and sponsorships
  • Manages the preparation and distribution of Department Chairs’ salary letters with the Office of Financial Services
  • Serves as primary approver for invoices and check requests for the Dean’s Office using HCOM, as well as the approver for the corporate card for Dean’s Office staff using Concur

Dean’s Communications:

  • Reviews and tracks the Dean’s School-wide announcements, and requests for announcements, through to completion — in coordination with School leadership and internal offices including Communications and Academic Affairs
  • Sends finalized announcements out from Dean’s account
  • Speech tracking and coordination

The Director of Administration may also represent the Dean’s Office on committees and/or meetings, manage various ad hoc projects and activities, and perform other duties as assigned.
