SUMMARY
The Institutional Giving Manager (IGM) reports to the Associate Director of Institutional Giving and plays a crucial role in growing SFJAZZ’s programmatic and operating support by creating and writing successful corporate and foundation grant proposals. The successful candidate is responsible for conducting the full range of activities required to research, prepare, submit, and track grant proposals and reports to current and prospective corporate and foundation partners to achieve and exceed annual financial Institutional goals, currently set at a combined $1.8 million goal with the intention to grow to $2.8 million in five years. The Institutional Giving Manager will manage a small portfolio of lower-level foundation funders and a growing portfolio of corporate partners as the primary contact. Success requires the ability to identify compelling engagement opportunities suited to both SFJAZZ and corporate objectives and to synthesize those opportunities into strategic partnership plans.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist with the design and implementation of fundraising strategies from foundation and corporate prospects to generate support for SFJAZZ priorities
  • Establish annual plan of revenues and expenditures for corporate sponsorship that links to overall fundraising goals
  • Track and maintain a schedule of all corporate outreach and contact, and schedule of corporate and foundation grant inquiries, proposals, and reports
  • Lead Institutional administrative support including acknowledgment letters, tax receipts, transmittals, and Tessitura plans
  • Assist with writing creative, individually tailored proposals, letters of inquiry, and preparing project budgets
  • Work with the Associate Director of Institutional Giving to meet all reporting and other grant requirements for a portfolio of corporate and foundation partners
  • Execute thoughtful, customized stewardship plans for all corporate and foundation partners
  • Research prospective funders
  • Provide day-of support for corporate and foundation fulfillment events
  • Work collaboratively with the Associate Director of Institutional Giving in soliciting corporate philanthropic gifts, and with individual gift officers in identifying donors with corporate connections
  • Implement corporate sponsorship fulfillment requirements, working with various departments at SFJAZZ
  • Design corporate sponsorship packages that leverage the value and reach of the organization’s artistic, educational, and community engagement programs
  • With marketing and other staff, develop collateral materials in promotion of corporate program benefits, including brochures and website updates
  • Promote SFJAZZ sponsorship offerings and expand the organization’s network of corporate contacts through direct marketing campaigns, networking events, and personal outreach
  • Leverage the SFJAZZ Center’s rentals and vendors for corporate lead generation
  • Represent SFJAZZ in the concert halls, in the community, and at donor events

MINIMUM QUALIFICATIONS

  • Two to three years developing partnerships and/or sponsorships with the local and national corporate community.
  • Excellent written communication, presentation, and research skills.
  • Entrepreneurial and creative approach to fundraising.
  • Motivated to learn from peers and on one’s own.
  • Project management and organizational skills with high attention to detail.
  • Experience with working in Word, Excel, and databases.
  • Prior experience working in a performing arts organization highly desirable; knowledge and interest in jazz and related music is a plus.

POSITION SUMMARY
The accountant is responsible for a diverse array of entry-level accounting duties that support the San Francisco Jazz Organization’s financial functions. The position’s primary functions are to perform a range of basic accounting and reporting activities. These include extensive data entry; monthly close activities; financial reporting duties; revenue and cost reporting; basic analyses; accurate and timely reconciling and reporting for various general ledger accounts; maintaining fixed asset listing; serving as back-up for payroll and assisting with payroll-related accounting entries; and assisting with financial reports and statistics as needed.

Reporting Structure: This position reports to the Controller with additional accountability to the Chief Financial Officer and the Associate Director of Finance and Administration.

ESSENTIAL FUNCTIONS INCLUDE

Accounts Payable

  • Supervise the timely processing and data entry of payables for assigned accounts
  • Review backup for completeness
  • Manage and schedule cash disbursements of A/P
  • Maintain backup documentation and files
  • Follow up with organization staff, vendors, and/or other stakeholders as needed

Cash/ Receivables

  • Oversee timely processing and data entry of revenue for assigned accounts
  • Prepare invoices required, record checks, and make check deposits
  • Maintain backup documentation and files
  • Assist in the reconciliation monthly bank account for assigned accounts – gathering and archiving statement
  • Maintain cash flash report
  • Follow up with donors, organization staff, and/or other stakeholders as needed

General Accounting

  • Prepare General Ledger entries to record transactions and adjustments
  • Manage Balance sheet account analysis
  • Assist with monthly close activities
  • Flag errors for accuracy and completeness

Additional Duties

  • Provide support during annual audits, filing of tax returns, and 1099/1096 filings
  • Provide support and communication for organization staff for external partners/vendors about policies, updates, transaction activities, and general inquiries
  • Provide payroll support including entries, reconciliation, and report creation/distribution
  • Assist organization staff on proper coding and recommend new GL codes as needed
  • Maintain filing system for financial documents and records
  • Assist with periodic financial reporting
  • Organize and manage annual 1099/1096 tax filings.
  • Assist with credit card payments, collection and reviewing support
  • Assist in special projects if needed and other duties as assigned by the Controller

QUALIFICATIONS

  • Bachelor’s degree preferred, with major in accounting or equivalent job experience.
  • At least 2 years of accounting experience preferably in a non-profit setting.
  • Tech-savvy, detail-oriented, highly organized, with a demonstrated ability to manage multiple schedules and changing deadlines and priorities
  • A people person who is positive, open minded, articulate, outgoing, willing/eager to learn, collegial, and has a sense of humor.
  • Ability to work independently and collaboratively, possesses a strong work ethic, has ambition, and thrives in a fast-paced environment.

ABOUT THE POSITION
This is a full-time, non-exempt position. The Executive Assistant to the CEO (EA) is primarily responsible for supporting the Chief Executive Officer (CEO) to help him manage his various priorities and responsibilities. OVERALL RESPONSIBILITIES

  • Helps prioritize CEO workload.
  • Tracks CEO’s commitments and priorities and helps him meet deadlines.
  • Serves as a point of access to the CEO for staff, Trustees, and the public.
  • Ensures clear and efficient logistical communication between the CEO and Leadership Team including understanding staff’s needs of the CEO and providing status updates on their requests.
  • Manages CEO’s complex calendar including scheduling internal and external meetings.

ESSENTIAL FUNCTIONS
Leadership Team

  • Partners closely with the Development team to accomplish the CEO’s development related priorities and commitments, especially tracking and prioritizing the CEO’s development tasks, contributing to fundraising strategy, and planning fundraising meetings and trips.
  • Works directly with the Development Director to track and prioritize development related correspondence.
  • Works directly with the Director of People and Culture with respect to staff events, management of “Jobs” inbox, and tracks applications for various hiring teams. May also be asked to manage correspondence between hiring teams and applicants.
  • Collaborates with Finance and Administration on proper filings of Governance materials, contracts, and finance related matters.

Trustee Management

  • Coordinates and manages all logistics for board meetings including tracking and developing board materials, creating the board packet, and taking detailed minutes at the board meetings.
  • Managing the online Board Portal by uploading all prepared Board meeting pre reads, agendas, and other necessary documents.
  • Organize and plan Board and committee meetings; liaise with the Board as appropriate. During meetings, take meeting minutes, record attendance, and take responsibility for distribution and proper filing of official documents.

Additional Responsibilities

  • Support CEO’s civic Board activities; support SFJAZZ in the community.
  • Assisting HR with the planning and executing staff meetings and events.
  • When needed, assist with Trustee and Donor related events.
  • Work closely with the internal Events Committee as a liaison between Leadership and the committee for staff appreciation events.
  • Occasionally, participates in organizational capacity building projects in partnership with other staff/Leadership Team.
